Refund Policy

Scope

This policy applies to professional services contracted with Acacia Hub Analytics Co., Ltd., including procurement savings dashboard engagements, spend category analysis reports, supplier benchmark briefing sessions, and monthly data refresh retainers.

Engagement deposits and milestones

Standard payment schedule: 40% upon signing, 40% at prototype delivery, 20% at final handover. The signing deposit is non-refundable once work has commenced, including data intake workshops and taxonomy alignment sessions.

Cancellation by client

• Before work commences: Full refund of any advance payment minus documented third-party costs already incurred.
• After work commences: Client pays for completed milestones and actual hours logged on in-progress work at the contracted rate. Deliverables completed to date are provided upon payment.

Briefing session cancellations

Cancellation 10 or more business days before the session: full refund. Cancellation 5–9 business days before: 50% refund. Cancellation fewer than 5 business days before or no-show: no refund. Rescheduling is free with 10 business days notice, subject to analyst availability.

Retainer cancellations

Monthly retainers require 30 days written notice. Fees for the current month are non-refundable if data refresh work has begun.

Non-refundable items

• Travel expenses already incurred
• Third-party data licenses purchased on client's behalf
• Completed briefing sessions and delivered reports

Work already started

If a client cancels after prototype delivery, the prototype milestone payment is retained and the client receives all work product completed through the cancellation date.

Materials purchased for your project

Specialized materials or external data sets purchased specifically for your engagement are billed at cost and non-refundable once acquired.

Refund process

Submit refund requests to info@webacaciahub.click with your contract reference and reason. Approved refunds are processed within 14 business days to the original payment method.

Quality concerns

If deliverables do not match an agreed statement of work, contact us within 10 business days of delivery. We will remedy through revision at no additional charge before any refund consideration.
